Three hours from the warehouse, and worth every mile

We have produced 18 events at Hidden Pastures with 4 more booked. It is nearly 300 acres of private mountaintop in Ashe County, up in the Blue Ridge near West Jefferson, with three crosses at the peak used as a ceremony and photo landmark.

It is also the furthest venue we work regularly, and that shapes how we approach it. We do not treat a Hidden Pastures wedding as a day trip with a long drive attached. We plan the crew, the vehicle, the backup gear and the overnight properly, because on a remote mountain property there is no running back for a spare.

The timings are published, and they are the plan

Hidden Pastures publishes more useful scheduling detail than most venues, and every one of these facts changes something:

  • Alcohol service and music must end by 11:00pm. Stated on every wedding package.
  • Everyone off the property by midnight.
  • Wedding-day access from 9:00am to midnight, with Friday setup and a rehearsal dinner included on the larger packages.
  • Sunday 10:00am to noon for pickup.
  • One event per day, always.

That Sunday pickup window is the single most useful fact on this page. It means we do not have to strike a full rig at 11pm after a three-hour drive up and load out in the dark. We break down what needs breaking down, leave the rest, and collect it in daylight. Almost no venue allows that, and it is a real reason a mountain wedding here runs calmer than it looks on paper.

A hard 11pm on both music and bar also means the night must be built backwards. Planned properly, an 11pm finish does not feel early — it feels deliberate, and the last dance lands where it should instead of being cut off.

The mountaintop ceremony sites

There are four ceremony site options, and some of them are reached by shuttle — the venue runs shuttles and parking attendants as part of the package. You can also marry inside the barn or on the covered patio.

A mountaintop ceremony is the most rewarding and most demanding thing on this property. It is exposed, it is windy, there is nothing to reflect sound off, and every piece of equipment has to go up and come back down by vehicle. That argues for a deliberately small, well-chosen ceremony rig on battery power rather than a full system dragged up a mountain: lavaliers on the officiant and the couple, a compact pair either side of the seating, and a wind plan.

We ask the venue about power at each site before quoting rather than assuming, and we plan the strike so that the ceremony gear comes down while guests are at cocktails rather than at 11pm in the dark.

The barn, the patio, and the no-fixings rule

The reception barn is a converted 2,500 square foot space, with a 900 square foot covered patio the venue describes as the spot for cocktail hour, music and dancing. Seating is up to 150 for a sit-down dinner, with tent expansion available beyond that. A warming kitchen and catering prep area are on site.

Two published rules shape our build. No live or open flames indoors, and no nails or screws into surfaces — along with no confetti and no glitter. As at several venues we work, that means every hang is clamp, truss or free-standing. Entirely workable, and worth knowing before you picture drape fixed to a beam.

Worth noting for the patio: it is covered outdoor space, not a room. A system set for the barn will not carry out there, so if the dancing genuinely happens on the patio, that gets its own design.

What we bring, and how we crew it

  • DJ and MC, with the night built backwards from the 11pm music cut-off
  • Mountaintop ceremony audio on battery — compact, wind-tolerant, sized to be shuttled
  • A separate zone for the covered patio if that is where the night lives
  • Uplighting inside the barn, free-standing rather than fixed to anything
  • Dance floor lighting programmed to the set
  • Genuine backup gear, because there is no second run up the mountain
  • Monograms and photobooths from our enhancements list, subject to venue approval

There is on-site lodging for up to about 26 guests across four properties, with two-night minimums. For a wedding this far out, a crew staying over is often the sensible answer and we will say so when it is.

Questions we get about Hidden Pastures Farm

Do you charge travel to Fleetwood?

Yes, and it is a real one. Hidden Pastures is roughly three hours from our Greensboro warehouse, up in Ashe County. The travel is on the quote up front — including overnight accommodation for the crew when the schedule needs it — rather than appearing later.

Is 11pm really the end?

Yes. The venue states on every wedding package that alcohol service and music end at 11pm and that everyone is off the property by midnight. It is not a soft target. We build the night around it so the last dance lands rather than gets cut.

Can you get sound to the mountaintop ceremony site?

Yes, and we do it with battery systems and lavalier microphones rather than trying to take a full rig up. The site is exposed and windy with nothing to reflect off, so the plan is a compact, well-placed setup, not a loud one.

Do you really leave gear overnight?

Where the venue’s Sunday 10am to noon pickup window applies, yes, and it is one of the best things about working here. It means we are not striking a full rig at 11pm in the dark on a mountain. We agree it with the venue rather than assuming it.

Can we have candles or sparklers?

No live or open flames indoors is published, and glitter and confetti are prohibited. Sparklers, cold sparks and haze are not addressed in what the venue publishes, so we ask them directly rather than turning up with something that gets refused.

What season does the venue run?

The venue’s own FAQ says mid-April through mid-November, with very limited availability in November and December. If you are looking at a shoulder date, confirm it with them early.
